Payment File Requirements

​If you are creating your own file, each field should contain specific data. You can find the data in our Bulk Payment Layout document and use the field descriptions below.

Column One - Filler

This field can be used to help you identify the payment you are making. This can be the name of the person you are making the payment for or any other information.

Hint: Do not use commas in this field as it will create errors.

Column Two - Account Type

This is a three character code identifying the tax type you are making a payment for. The code you use either the numeric or alpha code provided in the table. See the Payment File Codes page for a complete list.

Hint: Format this filed as a text field. This will hold any leading zeroes if you are using the numeric codes.

Column Three - MN ID

Enter the Minnesota ID for the business you are making a payment for. This field is only required if you are making a payment for a business.

Location

This field should be left blank.

SSN

Enter the SSN for the individual you are making a payment for. This field is only required if you are making a payment for an individual.

Last Name

Enter the last name for the individual you are making a payment for. This field is only required if you are making a payment for an individual.

Date of Birth

This field is optional when making a payment for an individual. The DOB must be formatted as dd-mmm-yyyy.

Hint: You can format this column so the filing period with have the correct date format.

Payment Type

This is a numeric value that will help us identify what type of payment you are making. The type of payment may be limited depending on the account type you are making a payment for. To see a list of payment codes and rules, see our Payment File Codes page.

Hint:  Format this filed as a text field. This will hold any leading zeroes if you are using the numeric code.

Filing Period

This is a required field for all payments. The filing period must be formatted as dd-mmm-yyyy.

Hint: You can format this column so the filing period with have the correct date format.

Letter ID

If you are making a payment with a Letter ID, this field is required. Examples of payments that will be made with a Letter ID are levy payments, a payment for a Minnesota Tax Bill, or an audit payment. The Letter ID will provide direction on how you want to apply the payment.

When making a payment with a Letter ID, enter 015 or MTB in the Account Type field.

Amount

Enter the amount of the payment.

Hint: You can format this field so it has two decimal points to help prevent errors with your payment file.

Request Date

This is the date you want to make the payment. You can future date your payment. If this field is left blank, we will assume that the payment was make today. 

IAT Indicator

Enter N in

Bank RTN

Enter the routing number for the bank you are using to make this payment. This is a required field and must contain nine digits.

Hint: Format this filed as a text field. This will hold any leading zeroes if you are using the numeric codes.

Acct #

Enter the account number for the account you are using to make this payment. This is a required field.

Hint: Format this filed as a text field. This will hold any leading zeroes if you are using the numeric codes.

Bank Account Type

This field identifies the type of account you are making a payment from. This is a required field.

Spouse SSN

You can enter the spouse's SSN if you are making a payment for a joint Individual Income Tax account.

Spouse Last Name

You can enter the spouse's last name if you are making a payment to a joint Individual Income Tax account.

Spouse DOB

You can enter the spouse's DOB if you are making a payment to a joint Individual Income Tax account. The date must be formatted as
dd-mmm-yyyy.
