How to Submit W-2 Information using the Electronic Data Exchange (EDE) System

​The option to electronically submit a file using the EFW2 format is available through the Department’s Electronic Data Exchange (EDE) System.

Because this application is used for several types of files, the language is not W-2 specific. For example, "Transmission" refers to the entire file and "Document" refers to a set of W-2s (one set is an RE record to the corresponding RT record). You will need to make sure that each "document" is accepted to ensure we've received all of your W-2 information.
 

Sending a File

After you login:
 
  • Choose the option to "Transmit a file."
  • Using the drop down menu, choose the type of file you are transmitting (W-2 or W-2 Zipped).
  • Click the “Browse” button to attach your file.
  • Click the "Upload" button to receive a tracking ID.
  • Print or make note of this number; it confirms the submission of your file. However, this does not mean we have accepted your W-2 information.
  • Please allow up to 24 hours for your file to process. You must log in later to view your acknowledgement.

Viewing “Transmission” Acknowledgments

After you upload a file:

  • Log in to the EDE system and click the "View transmission history" link.
  • The File Status column should display a status of "Rejected" or "Completed." If any other status is displayed after 24 hours, please contact us.
  • If the status is “Rejected,” click on the word "Rejected" to see why your file was rejected. You will need to correct the file and resubmit it.
  • If the status is “Completed,” we have finished processing your file.
  • Click on the word "View" in the Documents column to see if the W-2 information was accepted. Each set of W-2 information will either be accepted or rejected.
  • If one or more sets were rejected, correct the rejected sets, remove the accepted sets and resubmit the new file.
